ITT and RFP

When setting out on the procurement trail, how do your ITTs reflect your business needs?

Although Aligned Solutions has provided bid writing solutions since 1997, we have also worked the other side of the procurement divide, creating Invitations to Tender (ITT) and Requests for Proposal (RFP) for clients.

If these documents do not reflect your business needs, and are not designed around the creation of value, then bidders cannot provide the answers you need. Bad ITTs mean bad business.

The solution? Working closely with your people, as either mentors or full service providers, we will create procurement documents that meet your strategic and functional needs. Your legal requirements will be fully included, as will technical solutions that result in the creation of service value to your internal and external customers.

By looking closely at the challenges you face, and understanding your business needs, we create a business case and define your requirements in a clear, no-nonsense style. If the business case ever turns negative, then either stop the project and revise it, or cancel it!

An easy-to-use scoring template (and one that is consistent, clear and transparent) is also created to allow your people to score the bidders’ responses, helping them to choose the winning bid.

Buying software – a best practice approach

The procurement of software is fraught with difficulty for many organisations, but has become a specialty for ASL. Using best practice, we create:

  • Overall Business Objectives
  • Initial business case and a review process
  • Functional requirements and benefits analysis, gathered from stakeholder engagement
  • Criteria and weighting definition
  • Business review
  • Final approach and scoring
  • Decision process
  • Procurement recommendation (if needed as part of the outsourced solution)

Procurement must never be a purely quantitative, scored process. You must always be able to answer the question: “Can we work with these people?”

Using our project management capability and our e-business experience, we can then help deliver the solution, working closely with your chosen supplier.

To overcome the many pitfalls of procurement documents, use our proven experience in the public and private sectors, helping drive best practice and governance into your organisation.
